Our Zaita Tours Terms & Conditions

1. Introduction

Welcome to Zaita Tours. By booking a tour with us, you agree to comply with and be bound by the following terms & conditions. Please review them carefully as they set out the respective rights and obligations of both parties.

2. Booking and Payment

  • Reservations: A deposit of 50% of the total tour cost is required at the time of booking. This deposit is non-refundable.
  • Balance Payment: The remaining balance must be paid 45 days prior to the tour start date. Failure to do so may result in the cancellation of your booking.
  • Methods of Payment: We accept payments via bank transfer, credit card, and PayPal. All payment fees are borne by the client.

3. Cancellation Policy

  • Cancellation by You:
    • More than 45 days before departure: The 30% deposit is non-refundable.
    • 45-30 days before departure: 50% of the total tour cost is refundable.
    • Less than 30 days before departure: No refund.
  • Cancellation by Us: If we cancel the tour for any reason, you will receive a full refund or the option to rebook. We are not responsible for any additional costs incurred by the client, such as non-refundable airline tickets.

4. Changes to Bookings

  • By You: Any changes to bookings must be made in writing. While we will try to accommodate your requests, changes may incur additional charges depending on the nature of the change and the time left before departure.
  • By Us: We reserve the right to make minor changes to your itinerary. Major changes will be communicated promptly, and you will have the option to accept the changes or cancel the tour with a full refund.

5. Travel Insurance

Travel insurance is mandatory for all clients and should cover personal accident, medical expenses, loss of luggage, and cancellation. Clients must provide proof of insurance before the tour starts.

6. Health Requirements

Participants must be in good health and fit to travel. Any medical conditions must be disclosed at the time of booking. We reserve the right to refuse participation to anyone deemed unfit for the tour.

7. Visas and Passports

It is the responsibility of the client to ensure they have the necessary visas and valid passports for entry into Tanzania. We are not liable for any issues arising from failure to obtain the appropriate travel documents.

8. Liability

  • Our Responsibility: Zaita Tours is not liable for any injury, loss, or damage during the tour unless caused by our negligence. We are not responsible for any delays, deviations, or changes in the itinerary due to unforeseen circumstances.
  • Your Responsibility: Clients are responsible for their actions and must adhere to local laws and regulations. Any damage caused by the client to property or third parties during the tour will be the client’s responsibility.

9. Complaints

Any complaints must be reported immediately to the tour leader to be addressed promptly. If the issue is not resolved on-site, clients must submit a written complaint to Zaita Tours within 30 days of the tour’s completion.

10. Force Majeure

Zaita Tours is not liable for any failure or delay in performing our obligations due to events beyond our control, such as natural disasters, strikes, political unrest, or governmental actions. In such cases, we will make every effort to provide suitable alternatives.

11. Governing Law

These terms and conditions are governed by the laws of Tanzania. Any disputes will be resolved in Tanzanian courts.

12. Image and Video Rights

By participating in a Zaita Tours trip, you grant us the right to use any photographs or videos taken during the tour for promotional purposes without compensation.

13. Special Requests

Any special requests (e.g., dietary requirements, room preferences) must be communicated at the time of booking. While we will do our best to accommodate such requests, they cannot be guaranteed.

14. Third-Party Services

Some services provided during the tour may be handled by third-party providers. While we carefully select our partners, we are not responsible for their actions or any issues that may arise from their services.
